Sending Agronomist Recommendations to TELUS Crop Management

This guide explains how agronomists using Gatekeeper Desktop can send recommendations directly to growers on TELUS Crop Management (Standard, Advanced, and Premium), and how growers review and import those recommendations into their jobs.

Before You Begin: Key Requirements & Data Alignment

To ensure recommendations transfer smoothly without errors, review these essentials before creating or sending recommendations:

  • Field Name Alignment: Field names and suffixes must match identically character-for-character between Gatekeeper Desktop and TELUS Crop Management. If Gatekeeper has "Bottom 40" and TELUS Crop Management has "Bottom 40ac," the recommendation will be blocked.

  • Product & Catalogue Alignment: TELUS Crop Management validates products against UK regulatory compliance standards. Products in Agronomist’s Gatekeeper organisation or personal product lists must be set up under the correct headings and contain required regulatory data.

  • Exact User Name Matching: The advisor’s name in TELUS Crop Management Personnel must match the agronomist’s exact user name in Gatekeeper Desktop.

💡 Grower Tip — Share Your Field List First: To prevent field name mismatches, share your exact TELUS Crop Management setup with your agronomist before they create a recommendation:

  • Option A (Digital): In TELUS Crop Management, go to Fields > Cropping Planner Tab > Email Cropping to send your structure directly to your agronomist.

  • Option B (Print/PDF): Print a Field List or Cropping (Summary) report from TELUS Crop Management and share it with your agronomist to refer to when setting up fields.

Step 1: Link Accounts via Key

The Organisation Key is a unique authentication code generated by TELUS Crop Management. It never expires, so this step only needs to be completed once per agronomist link.

[GROWER] In TELUS Crop Management:

  1. Open TELUS Crop Management.

  2. Go to Setup > Personnel.

  3. Select or add your agronomist from the list.

    • Requirement: They must have an email address recorded and be assigned the Advisor role.

    • ⚠️ Critical Name Check: The advisor’s name in TELUS Crop Management Personnel must match their exact user name in Gatekeeper Desktop. (Agronomists can verify their user name in Gatekeeper via Tools > User Manager > Name, which requires both first and last name).

  4. Click Email my organisation key to send the key directly to your agronomist.

💡 Optional — Enable Automatic Imports: If you want recommendations to bypass manual review and convert directly into Draft Jobs (when all data matches clean), select the advisor's name in Personnel, tick Automatically import recommendations, and click the green tick to save.

[AGRONOMIST] In Gatekeeper Desktop:

  1. Open Gatekeeper Desktop and go to Setup > Businesses.

  2. Select the grower business you wish to link and click Setup Relationships.

  3. In the Setup Relationship Credentials window, select TELUS Crop Management from the treeview (ensure it is Active).

  4. Paste the Organisation Key provided by the grower into the Organisation Key box and click OK.

Step 2: Ensure Product Catalogue Alignment

Because agronomists select products directly from organisation or personal product lists in Gatekeeper, catalogue managers and agronomists must ensure products comply with TELUS Crop Management standards before issuing recommendations:

[AGRONOMIST / CATALOGUE MANAGER] In Gatekeeper Desktop:

Navigate to Catalogue Browser > Organisation Filter > Setup Products and verify the following headings:

  • Adjuvants: Only products officially defined as adjuvants by the UK regulatory body may remain under "Adjuvants". All non-adjuvant items must be re-categorised to Other Pesticides or Other Variable Costs.

  • Bio-Stimulants & Trace Elements: Move bio-stimulants out of legacy headings (such as "Trace Elements" or "Adjuvants") into Gatekeeper's dedicated Bio-Stimulants category.

  • Fertiliser Nutrient Analysis: All fertilisers must have a valid nutrient analysis entered of at least 0.1% recorded.

  • Non-Nutritional Products: Any non-nutritional items set up under "Fertilisers" (e.g., products applied with fertiliser that carry no nutritional value) must be moved to Other Variable Costs. (Note: Trace elements are exempt from the nutrient analysis requirement).

Step 3: Create & Publish Recommendations

Once the relationship is established and catalogues are verified, recommendations can be published to the grower.

[AGRONOMIST] In Gatekeeper Desktop:

  1. Create and issue the recommendation as normal in Gatekeeper Desktop.

  2. Click Publish from within the Recommendations module OR click Publish Gatekeeper Plan from the Issue window.

  3. In the 'Add New Publication' window, ensure the Relationship Manager option is selected and click OK.

  4. To send the recommendation, choose one of the following methods:

    • Full Sync: Click the Synchronise icon in the module bar and confirm.

    • Send Only: Open the Publishing Centre from the module bar, select the Outbox tab, and click Send Now.

Step 4: Receive & Import Recommendations

When an agronomist sends a plan, a notification will appear in TELUS Crop Management.

When reviewing incoming recommendations in TELUS Crop Management, jobs are validated automatically:

  • Checkbox Available: The job is ready to import.

  • Checkbox Disabled / Missing: The job contains a blocking error and cannot be imported until resolved.

Understanding Job Status Icons:

  • Triangle Icon — Warning (Import Permitted):

    • Indicates a non-blocking mismatch (e.g., variety mismatch).

    • Click the black arrow () to expand the job and view the Orange Warning (⚠️ Warnings) details.

    • You can still tick the checkbox on the left to import the recommendation.

  • Circle Exclamation Icon — Error (Import Blocked):

    • Indicates a critical data conflict (e.g., field name or crop mismatch).

    • Click the black arrow () to expand the job and view the Red Error (🔴 Errors) details.

    • The checkbox on the left is disabled. You must fix the error in TELUS Crop Management or ask your agronomist to adjust and re-send the recommendation before it can be imported.

Import: Tick the checkbox for all valid recommendations and click Import.

Once imported, new recommendation jobs will appear in your Draft Jobs list highlighted with a New Rec badge.

📌 Note: If automatic import is enabled for your advisor, clean recommendations will bypass the notification bell and flow straight into your Jobs module automatically.

Troubleshooting Import Issues

Red Import Errors (Import Blocked)

If a recommendation displays a red error icon, you must resolve the underlying issue before TELUS Crop Management can process the import.

Name in TELUS Crop Management Personnel doesn't match the Gatekeeper user name.

Field Name, Suffix OR Crop Mismatch

Field names, suffixes or Crop differ between systems.

Align field names, suffixes and crops in both systems so they match exactly.

Product Misclassified in Gatekeeper

A product is set up under an incorrect heading in Gatekeeper (e.g., non-adjuvant listed as "Adjuvant", or bio-stimulant under "Trace Elements").

Agronomist/Catalogue Manager must re-categorise the product in Gatekeeper (Catalogue Browser > Organisation Filter > Setup Products), then re-publish and re-send the rec.

Fertiliser Missing Nutrient Analysis

A fertiliser product lacks a valid nutrient analysis (minimum 0.1%), or a non-nutritional item is listed under Fertilisers.

Add valid nutrient data against the fertiliser in Gatekeeper, or move non-nutritional items to Other Variable Costs. Re-publish and re-send.

Season Not Found

Recommendation is for a cropping season that does not exist in TELUS Crop Management.

Verify the cropping season in TELUS Crop Management, create the season if missing, and import.

Duplicate Job

The recommendation has already been imported into TELUS Crop Management jobs.

Delete the duplicate job in TELUS Crop Management.

Field Area Too Large / Area Overload

The recommendation job covers a larger field area than recorded in TELUS Crop Management.

Either adjust field area records in Gatekeeper or TELUS Crop Management, OR select the "Reduce area and import" option directly in the import screen.

Agronomist Not in Personnel

Advisor has not been added to TELUS Crop Management Personnel.

Add your agronomist to Setup > Personnel as an Advisor.

Orange Import Warnings (Import Permitted)

Orange warnings highlight potential discrepancies but will not block you from importing:

  • Variety Mismatch: The recorded variety in the agronomist's plan differs from what is set on your TELUS Crop Management field record.
