This guide explains how agronomists using TELUS Farm Management (TFM) can send plans (recommendations) directly to growers on TELUS Crop Management (TCM) and how growers import those recommendations.
📋 Before You Begin: Key Requirements & Data Alignment
To ensure recommendations transfer smoothly without errors, review these essentials before creating or sending plans:
Field & Crop Matching: Field names and crops must match in both systems. If either differ between systems then they will not be recognized and the import will fail.
Plan Creation Date: Plans must be created in TELUS Farm Management after the site's migration or setup date. Published or draft plans created prior to migration cannot be sent.
Explicit Crop Mapping: Recommendations will only send if crops are mapped in TELUS Farm Management and saved to the site (See Site Settings).
💡 Tip: To make it easier to match field names, we recommend printing a Field List or Cropping (Summary) report from TCM and sharing it with your agronomist to ensure matching data.
Understanding Your Site Setup
How crop mapping and site connections behave depends on how the site was established:
Scenario A: Standard Migrated Sites
If the site was moved over using the standard data migration wizard, the site in TELUS Farm Management is now read-only. The ability to send Plans is enabled automatically. Crop mappings set during the migration wizard are retained though they can still be updated under Site Settings if needed.
Scenario B: Matched Sites ("Set Site as Migrated")
If the grower already has an active site in TELUS Crop Management and did not run a standard data migration, (for example, grower has setup as a brand new account OR migrated their data from Gatekeeper) but their agronomist is on TELUS Farm Management, the agronomist must manually link the site first:
In TELUS Farm Management -
Navigate to the Site Dashboard
Select Set Site as Migrated under the Actions menu on the right.
⚠️ Important: Unlike standard migrations, matched sites do not automatically map crops for you. You must manually complete and save the crop mapping in TELUS Farm Management before recommendations can be sent.
Step 1: Link Accounts (Exchange / Organisation Key)
The Organisation Key is a unique authentication code generated by TELUS Crop Management. It never expires, so this step only needs to be completed once per agronomist.
👤 Grower Action (in TELUS Crop Management)
Open TELUS Crop Management.
Go to Setup > Personnel.
Select your agronomist from the list.
Requirement: They must have an email address recorded and be assigned the Advisor role.
⚠️ Critical Name Check: The agronomist’s name in TELUS Crop Management Personnel must match their exact user name in TELUS Farm Management. If they do not match, recommendation imports will fail.
Click Email my Organisation Key to send the key directly to your agronomist.
💡 Optional — Enable Automatic Imports: If you want recommendations to bypass manual review and convert directly into Draft Jobs (when all data matches), select the advisor's name in Personnel, tick Automatically import recommendations, and click Save.
🌾 Agronomist Action (in TELUS Farm Management)
Open TELUS Farm Management and select the specific farm site.
From the Dashboard, select Site Settings.
Click the Exchange Key tab.
Paste the Organisation Key received from the grower into the Exchange Key box and click Save.
Step 2: Map and Save Crops (Agronomist)
Recommendations cannot be processed unless TELUS Crop Management knows which crop in its database corresponds to the crop in the agronomist's plan.
If Scenario A (Standard Migrated Site):
Go to Site Settings > TCM Mapping tab.
Review the pre-mapped crops that transferred during the migration wizard. Make any adjustments if necessary and click Save.
If Scenario B (Matched Site / "Set Site as Migrated"):
Ensure you have already clicked Set Site as Migrated from the Site Dashboard Actions menu.
Go to Site Settings > TCM Mapping tab. (Note: Crop mapping will be completely blank).
Match each crop in the Current Crop Destination column to its equivalent in the TELUS Crop Management Crop column (e.g., mapping W Wheat in TELUS Farm Management to Wheat Winter in TELUS Crop Management).
⚠️ CRITICAL STEP: Click Save to commit the crop mapping to the site.
⛔ Warning: Crop mapping is easily overlooked on matched sites. If crops are unmapped or mapping changes are not saved, any recommendations sent for those crops will fail to import.
Step 3: Create & Send Plans (Agronomist)
Once the Exchange Key is entered and crop mapping is saved, plan sending capability is unlocked in TELUS Farm Management.
In TELUS Farm Management:
Create and publish a plan using at least one mapped crop.
Note: The plan must be created after the site's migration or setup date.
Access the sending screen using either method:
From Plans Overview: Click the Send Plans button (this button appears once the Exchange Key and crop mappings are in place).
From Dashboard: Click the pop-up prompt on the specific site dashboard or all-sites dashboard.
3. Review the plan details and confirm to send.
💡 Note: The "Send Plans" button will only appear once the Organisation Key has been entered in TFM and crops have been mapped to TCM.
Step 4: Receive & Import Recommendations (Grower)
When an agronomist sends a plan, a notification will appear in TELUS Crop Management.
When reviewing incoming recommendations in TELUS Crop Management, jobs are validated automatically:
Checkbox Available: The job is ready to import.
Checkbox Disabled / Missing: The job contains a blocking error and cannot be imported until resolved.
Understanding Job Status Icons:
Triangle Icon — Warning (Import Permitted):
Indicates a non-blocking mismatch (e.g., variety mismatch).
Click the black arrow (
▶) to expand the job and view the Orange Warning (⚠️ Warnings) details.You can still tick the checkbox on the left to import the recommendation.
Circle Exclamation Icon — Error (Import Blocked):
Indicates a critical data conflict (e.g., field name or crop mismatch).

▶) to expand the job and view the Red Error (🔴 Errors) details.The checkbox on the left is disabled. You must fix the error in TELUS Crop Management or ask your agronomist to adjust and re-send the recommendation before it can be imported.
Import: Tick the checkbox for all valid recommendations and click Import.
Once imported, new recommendation jobs will appear in your Draft Jobs list highlighted with a New Rec badge.
📌 Note: If automatic import is enabled for your advisor, clean recommendations will bypass the notification bell and flow straight into your Jobs module automatically.
🛠️ Troubleshooting Import Issues
Red Import Errors (Import Blocked)
If a recommendation displays a red error icon, you must resolve the underlying issue before TELUS Crop Management can process the import.

Orange warnings highlight potential discrepancies but will not block you from importing:
Variety Mismatch: The recorded variety in the recommendation differs from what is currently set on the TELUS Crop Management field record.
❓ Frequently Asked Questions
What is the difference between an Organisation Key and an Exchange Key?
They refer to the exact same connection code. It is called the Organisation Key in TELUS Crop Management (where the grower generates it) and the Exchange Key in TELUS Farm Management (where the agronomist enters it).
Do I need to re-enter the Exchange Key for every plan?
No. The key authenticates the link permanently and never expires. You only need to enter it once per advisor link.
What happens if a grower changes agronomists?
The grower must add the new agronomist to their Personnel list in TELUS Crop Management, generate a key for that specific record, and have the new agronomist enter it into their TELUS Farm Management software.
Why are recommendations failing to send after setting up a Matched Site?
On matched sites ("Set Site as Migrated"), crop mapping is not done automatically. Make sure the agronomist has gone to Site Settings > TCM Mapping in TELUS Farm Management, mapped the crops, and explicitly clicked Save.
