Using Connections in TELUS Crop Management

Written by Cheryl Evans

Connections allow you to securely share your farm data with another TELUS Crop Management account — for example, sharing your field records and jobs with a contractor or a connected business. You control exactly what is shared, at what level of access, and you can update or deactivate the connection at any time.

Who can manage Connections?

Only Admin and Account Admin users can create, edit, and manage Connections. Standard and Read Only users will not see the Manage Connections option.

How to access Manage Connections

  1. Click your avatar (your profile icon) in the top-right corner of the screen.

  2. Select Manage Connections from the dropdown menu.

The Connections page shows a table of all your connections — both outgoing (connections you have sent) and incoming (connections you have received). You can filter the list using the Incoming and Outgoing checkboxes. The table shows the sender's organisation, recipient's organisation, direction, active status, and connection date.

Sending a connection request

  1. On the Connections page, click the + Connection button.

  2. Select the TELUS Crop Management icon.

  3. Enter the email address of a user at the organisation you want to connect with. The system will locate their organisation automatically.

  4. Click the tick button to confirm.

  5. Your businesses will be displayed. Toggle on the businesses you want to share.

  6. For each business, set the permission level for each module (see Permission levels below).

  7. Click the tick button to finalise.

A notification is sent to the recipient's account. Data sharing begins once they accept.

Note: Pending connection requests that are not accepted or declined within 30 days will expire automatically.

Permission levels

When sharing a business, you set a permission level for each module independently:

Permission level

What the recipient can do

Do Not Share

The module is not visible to the recipient

Read Only

The recipient can view data but cannot create or edit anything

Create / Edit

The recipient can view, create, and edit data

What can be shared

Each business you include in a connection can have independent permissions set for the following modules:

Module

Available permission levels

Notes

Cropping

Read Only / Create/Edit

Always shared when a business is included — cannot be set to Do Not Share

Jobs

Do Not Share / Read Only / Create/Edit

Inspections

Do Not Share / Read Only / Create/Edit

Do Not Share / Read Only / Create/Edit

Not available on Standard subscription accounts

Linked to Jobs and Stock — see Pricing rules below

Pricing permission rules

Pricing permissions are linked to your Jobs and Stock settings. The following rules apply:

  • If both Jobs and Stock are set to Do Not Share, Pricing is automatically set to Do Not Share.

  • If either Jobs or Stock is set to Create/Edit, Pricing can be set to Read Only or Create/Edit.

  • If either Jobs or Stock is set to Read Only (but neither is Create/Edit), Pricing can only be Do Not Share or Read Only.

  • Create/Edit Pricing requires at least one of Jobs or Stock to also be Create/Edit.

These rules ensure that any stock adjustments always have their pricing set at the same time, preventing quantity changes without corresponding pricing values.

Receiving a connection request

When another organisation sends you a connection request:

  1. A notification badge appears on the bell icon in the top-right corner of your screen.

  2. Click the bell to open the Notification Centre. Connection requests appear at the top of the list.

  3. The request shows the sender's name and organisation, and the businesses they want to share.

  4. Click Accept to approve the connection, or Reject to decline it.

Once you accept:

  • The connection appears on your Connections page with the status Accepted and the Active toggle switched on.

  • An account dropdown appears at the top of your screen, allowing you to switch between your own account and the connected organisation's data.

  • You can view the shared businesses and their permission levels, but you cannot change them — only the sender can modify permissions.

Switching between accounts

Once a connection is active, use the account dropdown at the top of the screen to switch between your own account and the connected organisation's data. When working in a connected account, you will only see the data and modules that the sender has shared with you, at the permission level they have set.

Editing a connection (senders only)

As the sender, you can update the permission levels for an existing connection at any time:

  1. Go to Manage Connections via your avatar menu.

  2. Click the connection you want to edit.

  3. Adjust the business toggles or module permission levels as needed.

  4. Save your changes.

The recipient will receive a notification that the connection has been modified.

Deactivating and reactivating a connection

  • Either the sender or the recipient can deactivate a connection using the Active toggle on the Connections page.

  • When a connection is deactivated, any data the recipient created or edited is copied and retained for their records, so both parties keep full visibility of the work done.

  • Inactive connections are shown with the date range they were active. Data created during the connection period is shown under the archived selection.

  • Only the sender can reactivate an inactive connection.

Important things to know

Multi-business jobs

Enabling Connections will automatically split any existing multi-business jobs into separate jobs, as multi-business jobs conflict with the connection permissioning system. Once a connection is active, new multi-business jobs cannot be created.

Recipient admin controls

The sender sets the overall permission level for each module. However, the recipient's Admin users can further restrict which of their own internal users can see specific businesses from the sender's data.

Stock sharing and subscription level

Stock sharing is only available if both the sender and recipient are on an Advanced or Premium subscription. Standard subscription accounts cannot share Stock data through a connection.

Connection status

Your Connections page shows the status of each connection:

Status

Meaning

Pending

The request has been sent and is awaiting a response

Accepted

The connection is active and data is being shared

Rejected

The recipient declined the request

Expired

The request was not responded to within 30 days

Frequently asked questions

Can I connect with more than one organisation?

Yes. You can send connections to multiple organisations and receive connections from multiple organisations simultaneously.

What happens to data if a connection is deactivated?

Any data created or edited by the recipient during the connection is copied and retained for both parties. Neither party loses access to a record of the work done.

Can the recipient change the permission levels?

No. Only the sender can modify the permission levels. The recipient can view the permissions but cannot change them.

Can I delete a connection?

A connection can only be deleted when it is not in an active and accepted state. To delete a connection, deactivate it first using the Active toggle, then delete it.

What is the difference between Connections and Manage Users?

These are two separate features. Manage Users controls what your own team members can do within your account. Manage Connections controls what data you share with a completely separate organisation's account.
