Managing Users: User Roles & Permissions

Every TELUS Crop Management account uses a combination of roles and permission settings to control what each user can see and do. This article explains each role in plain language, what the permission settings mean, and how they work together.

The Manage Users section can be accessed through the avatar dropdown menu, where you can create users and modify their details, roles, and permissions.

User allowances

TELUS Crop Management accounts have two separate user allowances:

  • Web user allowance — covers Account Admin, Admin, Standard, and Read Only roles

  • Mobile user allowance — covers Mobile App Only users only, tracked separately

The five user roles

TELUS Crop Management has five user roles. Each role is set when a user is created and can be changed at any time by an Admin or Account Admin.

Account Admin

The Account Admin is the primary account holder — the person who set up the TELUS Crop Management account. There is always exactly one Account Admin per account.

What they can do:

  • Full access to every business on the account, with no restrictions

  • Create, edit, and delete other users

  • Manage Connections with other organisations

  • Access all modules: Fields, Jobs, Inventory, Nutrient Planning, Compliance, and Pricing

Important:

  • The Account Admin's details can only be changed by contacting the TELUS Crop Management Support or Sales team — they cannot be edited through the platform

  • The Account Admin role cannot be assigned to another user through Manage Users

  • Their permissions cannot be restricted

Admin

Admins have the same level of access as the Account Admin and can manage other users on the account.

What they can do:

  • Full access to every business on the account, with no restrictions

  • Create, edit, and delete other users (except the Account Admin)

  • Manage Connections with other organisations

  • Access all modules: Fields, Jobs, Inventory, Nutrient Planning, Compliance, and Pricing

  • Import a migrated business (only Admin and Account Admin can do this)

Important:

  • An account can have multiple Admins

  • Admin permissions cannot be restricted — they always have full access

Standard

Standard is the most flexible role. Standard users have full access by default, but an Admin can apply restrictions to limit what they can see or do on a per-business basis.

Default access (no restrictions applied):

  • Access to all businesses on the account

  • Full access to Fields, Jobs, Inventory, Nutrient Planning, Compliance, and Pricing

Restrictions an Admin can apply:

  • Business Access — Remove access to a specific business entirely. The user will not be able to see any data for that business.

  • Edit Cropping — Prevent the user from creating or editing cropping records in the Fields module. They can still view the Fields module.

  • Pricing — Prevent the user from seeing prices or carrying out trading and transactions for a specific business.

💡 Tip: When no restrictions are applied, a Standard user's permissions show as Full Access in Manage Users.

Read Only

Read Only users can view information across the account but cannot make any changes.

What they can do:

  • View all businesses and data they have access to

  • View pricing information (unless the Pricing restriction is applied)

What they cannot do:

  • Create, edit, or delete any records — including fields, jobs, cropping records, or inventory

  • Make any changes in the Fields module

  • Log in to the TELUS Crop Management mobile app

Restrictions an Admin can apply:

  • Business Access — Remove access to a specific business entirely

  • Pricing — Prevent the user from seeing prices or carrying out trading and transactions

ℹ️ Note: The Edit Cropping restriction does not apply to Read Only users — they are already unable to edit any records.

Mobile App Only

Mobile App Only is a role for field operatives who need access to the TELUS Crop Management mobile app but should not have access to the web platform.

What they can do:

  • Log in to the TELUS Crop Management mobile app

  • View and update work assigned to them via the mobile app

What they cannot do:

  • Log in to the TELUS Crop Management web platform

  • Access any web-based modules or settings

Important:

  • Mobile App Only users count against a separate mobile user allowance, not the standard web user allowance

  • The Full Access, Edit Cropping, and Pricing permission settings are not available for this role — they are greyed out in Manage Users

  • If your account's mobile user allowance is full, the Mobile App Only option will not appear in the role dropdown when adding a new user

Understanding the permission settings

  • When you view a user in Manage Users, you will see permission settings alongside their role. These settings apply on a per-business basis and work differently depending on the role.

What it means

Full Access

No restrictions have been applied to this user for this business. They can see and do everything their role allows.

Edit Cropping

This restriction is active. The user cannot create or edit cropping records in the Fields module for this business, but can still view it. Applies to Standard users only.

Pricing

This restriction is active. The user cannot see prices or carry out trading for this business. Applies to Standard and Read Only users.

ℹ️ Note: Business Access is a separate toggle. If a user's access to a business is removed entirely, they will not see that business at all — the other permission settings do not apply.

Who can manage users?

Only Admin and Account Admin users can access Manage Users and make changes to other users' roles or permissions.
