Trade Types

Written by Cheryl Evans

Trade types let you create your own sub-categories for Miscellaneous Payment and Miscellaneous Receipt trades. Once set up, you can select a trade type each time you record a miscellaneous trade, making it easier to track and report on specific costs or income streams at the field level.

Examples:

  • Miscellaneous Payment → Drainage costs, Agri-environment scheme costs

  • Miscellaneous Receipt → Stewardship income, Funding scheme

💡Who can access this?

Trade Types are available to grower account users only. Agronomist users and users accessing a business through a connection (recipient users) do not see the Trade Types option in Setup.

Before you begin

Trade types apply only to Miscellaneous Payment and Miscellaneous Receipt trades. The other trade categories - Stock Purchase, Stock Sale, Credit (Purchase), and Credit (Sale) are fixed and do not require setup.

💡: Intra-Business Sale and Intra-Business Purchase are separate trade categories available to Premium and Advanced licence users. These also do not require trade type setup.

Adding a trade type

  1. Go to Setup and select Trade Types.

  2. Select + New Trade Type.

  3. Enter a name for the trade type (up to 80 characters).

  4. Select whether it is a Miscellaneous Payment or Miscellaneous Receipt.

  5. Select the tick ✓ to save.

The trade type will now appear as an option when recording a miscellaneous trade.

💡You can add multiple trade types in one go. After saving, tick Add Another to create the next one without closing the form.

Trade type names must be unique within each category. You cannot have two Miscellaneous Payment trade types with the same name, but you can use the same name for a payment and a receipt.

Editing a trade type

  1. Go to Setup and select Trade Types.

  2. Select the trade type you want to change.

  3. Update the name or category as needed.

  4. Select the tick ✓ to save your changes.

❗If a trade type has already been used in one or more trades, the category (Payment or Receipt) cannot be changed. Only the name can be updated.

Deleting or hiding a trade type

What happens when you try to delete a trade type depends on whether it has been used in any trades.

Situation

What happens

Trade type has not been used in any trades

It can be fully deleted. A confirmation prompt will appear before it is removed.

Trade type has been used in one or more trades

It cannot be deleted. You will see the message: "This item could not be deleted because it is used by one or more trades. If it is no longer required, it can be hidden instead." You can then choose to hide it.

To delete a trade type:

  1. Go to Setup and select Trade Types.

  2. Select the delete icon next to the trade type.

  3. Confirm the deletion when prompted.

To hide a trade type:

If a trade type has been used in trades, select the delete icon as above and select Hide Item when prompted. Hidden trade types are removed from active lists but remain in the system so that existing trade records are preserved.

Showing and unhiding trade types

If you have hidden trade types, a Show hidden items checkbox appears at the top of the Trade Types list. Tick this to view hidden trade types — they appear greyed out and are listed alphabetically.

To unhide a trade type:

  1. Tick Show hidden items to display hidden records.

  2. Select the unhide icon next to the trade type you want to reinstate.

The trade type will return to your active list and be available to select when recording trades.

Where trade types appear

Once set up, your trade types are available across the platform:

  • When recording a trade — select a trade type when adding a Miscellaneous Payment or Miscellaneous Receipt.

  • In reports — the Transaction Summary report shows your custom trade type name alongside the trade category. Field-level reports such as the Field Gross Margin report use miscellaneous trade costs in field margin calculations.

  • In field records — miscellaneous trades linked to a trade type are associated with your field records within the margin tab of a field, helping you track costs and income at the field level.
