Managing Trading Companies

What is a Trading Company?

A Trading Company is an external business such as a merchant, co-operative, or chemical supplier that you record as a counterparty on your stock trades. When you record a purchase or sale, you select the relevant Trading Company to show who you bought from or sold to.

Trading Companies are also used in Nutrient Management when recording livestock manure imports and exports.

💡You can add a new Trading Company on the fly while entering a trade, just type the name into the Company field and select Add: [Company Name] from the drop-down. See Trading for details.

Adding a Trading Company

  1. Go to Setup and select Trading Companies.

  2. Click + New Trading Company.

  3. Enter the Company Name (required, maximum 80 characters). Each company name must be unique within your account.

  4. Optionally, enter the company's address details:

    • Address lines, Town, County, Country, and Postcode.

    • The address will appear on Trade Invoice reports generated for that company.

  5. Click the Tick ✓ to save.

Editing a Trading Company

  1. Go to Setup and select Trading Companies.

  2. Click the company's name or address in the list to open the record.

  3. Make your changes to the name or address.

  4. Click the Tick ✓ to save.

Deleting or hiding a Trading Company

A Trading Company can only be permanently deleted if it has no address saved and has never been used on a trade. If either of those conditions applies, the company cannot be deleted — you can hide it instead to remove it from active lists while keeping your historical records intact.

To delete a company:

  1. Go to Setup and select Trading Companies.

  2. Click the bin icon next to the company.

  3. Confirm the deletion in the prompt.

If the company cannot be deleted, the system will tell you and offer the option to Hide it instead:

  • Click Hide Item to confirm.

  • The company will no longer appear in active lists but will remain on any trades or records it was used on.

Showing and restoring hidden Trading Companies

Hidden companies are not deleted — they remain in the system and are still shown on any trades they were used on.

To view hidden companies:

  1. Go to Setup and select Trading Companies.

  2. Tick the Show hidden items checkbox at the top of the list. Hidden companies appear greyed out in the list.

To restore a hidden company:

  1. With hidden items visible, click the open bin icon next to the greyed-out company.

  2. The company is restored to the active list.

Filtering trades by Trading Company

Once Trading Companies are set up, you can use them to filter your trade list:

  1. Open the Trading module.

  2. Use the Filter By panel and expand the Companies section.

  3. Select one or more companies to filter the list to trades involving those companies.

❗The Companies filter shows only companies that have transactions recorded in the current season.
